Overview
Where many trades work in a small space, registration, proof of qualification, briefing and access all have to fit together. ADLER develops a project-specific process for this, with clear responsibilities and status levels.
Groups of people and access types
At the outset, groups of people and access types are defined: employees of contractors, managers, visitors, suppliers or people working on site for a short time. For each group, the required information, evidence, briefings and release steps are set out.
Process, evidence and qualification
ADLER can set up the process organisationally, structure evidence criteria, establish status lists or digital workflows and coordinate the interface with access systems. Where needed, technical qualifications and training are linked with the ADLER Academy. Checking a piece of evidence only confirms the documented status; it does not replace the employer’s duties regarding suitability and briefing.
Digital tools can support the process. However, they replace neither the assessment of the individual case nor the employer’s responsibility for the suitability and briefing of its employees.
Presence, access and data protection
Presence information can support emergency and evacuation processes. Statements about accuracy, real-time capability or completeness depend on the technology, its use and the defined control processes. Personal data is processed for a defined purpose, transparently, with data minimisation and with risk-appropriate protective measures. Medical data or other special categories of personal data are only envisaged after a separate legal, data protection and security review.
Data protection and data security are part of the process design. Roles, data requirements, permissions, retention periods and deletion are clarified; the data protection officer is involved early on relevant questions.

What data is needed for onboarding?
This depends on the project, role and activity. Only information that is necessary and legally permissible for registration, qualification status, briefing, access or agreed emergency processes is collected.
Does ADLER deliver the required training itself?
The project organisation and status tracking sit with HSEE Xperts. Training and qualifications are delivered, depending on the topic, by the ADLER Academy or a suitable external provider.
What role does the data protection officer have in onboarding?
The data protection officer advises on and monitors data-protection-relevant processes within their statutory duties. Responsibility for the processing remains with the designated controllers and processors.
